Everything you need to know about using Collectible Manager
Getting Started
Creating an Account
To get started, create a free account by clicking "Sign in" in the header and then "Get Started" on the home page. You'll need to provide your name, email address, and create a password. You'll also need to accept our Beta Terms of Service.
Note: During the beta period, all features are free, but data loss may occur as we continue to improve the platform.
Adding Collectibles
AI-Powered Upload
- Click the "Add Collectible" button on your collection page
- Select "AI Upload" mode (default)
- Upload one or more images of your collectible
- The AI will automatically identify the item and estimate its value
- Review the suggested name, type, and estimated value
- Add any additional details like condition, manufacturer, year, or notes
- Click "Save" to add the collectible to your collection
Tip: For best results, use clear, well-lit photos. The AI works best with front-facing images of the item.
Manual Entry
- Click "Add Collectible" and select "Manual Entry"
- Upload images of your collectible (you can rotate images if needed)
- Enter the collectible's name and type
- Optionally add an estimated value or custom value
- Fill in additional details like condition, manufacturer, year, or notes
- Click "Save" to add the item
Tip: Use manual entry when you already know the details of your collectible or when the AI doesn't recognize your item.
Mass Upload
- Click "Add Collectible" and select "Mass Upload"
- Upload multiple images at once
- The system will process each image and create separate collectibles
- Review and edit each item as needed
Tip: Mass upload is great for quickly adding many items at once. You can always edit individual items later.
Duplicate Detection
If you try to add a collectible that already exists in your collection, you'll be prompted to either increase the quantity of the existing item or add it as a new entry anyway.
Searching and Filtering
Search Bar
Use the search bar at the top of your collection page to find collectibles by name. The search is instant and will filter your collection as you type.
Type Filter
Use the type filter dropdown to show only collectibles of a specific type. Select "All Types" to clear the filter and see everything.
Collection Filter
Use the collection selector dropdown to view items in a specific collection. Select "All Collections" to see all your collectibles.
Sorting
Sort your collectibles by:
- Date Added: Most recent or oldest first
- Name: Alphabetical order (A-Z or Z-A)
- Type: Group by collectible type
- Value: Highest or lowest value first
View Modes
Toggle between two view modes:
- Grid View: Visual card layout with images
- Table View: Compact list format with more details visible
Your preference is saved and will be remembered for your next visit.
Managing Collections
Creating a Collection
- Click the "Manage Collections" button on your collection page
- Click "Create New Collection"
- Enter a name and optional description
- Optionally check "Share this collection" to make it public
- Click "Create" to save
Adding Items to Collections
You can add collectibles to collections in two ways:
- From the Edit Modal: When editing a collectible, use the "Collections" section to assign it to one or more collections
- From Collectible Cards: Click on a collectible card or row to view quick-assign options (coming soon)
Note: A collectible can belong to multiple collections at the same time.
Sharing Collections
When creating or editing a collection, you can mark it as "shared" to make it publicly visible. Shared collections can be viewed by anyone on the "Browse Public Collections" page.
Privacy: Only the collection itself is shared. Your account information and other collections remain private.
Editing and Deleting Collections
To edit or delete a collection:
- Click "Manage Collections"
- Find the collection you want to modify
- Click "Edit" to change the name, description, or sharing status
- Click "Delete" to remove the collection (this won't delete the collectibles, just removes them from this collection)
Editing and Managing Items
Editing a Collectible
- Click on any collectible card or row in your collection
- Click the "Edit" button
- Modify any fields: name, type, images, values, or custom fields
- You can rotate or remove images
- Assign the item to collections
- Click "Save Changes" when done
Deleting a Collectible
- Click on the collectible you want to delete
- Click the "Delete" button
- Confirm the deletion in the popup
Warning: Deleting a collectible is permanent and cannot be undone. All images and data associated with the item will be removed.
Managing Quantity
If you have multiple copies of the same collectible, you can manage the quantity:
- When adding a duplicate item, choose "Increase quantity" instead of creating a new entry
- Edit the collectible to manually adjust the quantity field
Exporting Your Collection
Export to Excel
- On your collection page, click the "Export to Excel" button
- An Excel file (.xlsx) will be downloaded with all your collectibles
- The file includes: name, type, images, values, custom fields, and more
Note: The export includes all collectibles currently visible based on your active filters. To export everything, clear all filters first.
Collection Statistics
View real-time statistics about your collection at the top of the collection page:
- Total Items: Number of collectibles in your collection
- Total Value: Sum of all estimated and custom values
- Types: Number of different collectible types
Statistics update automatically based on your active filters.
Account Settings
Updating Your Profile
- Click on your account name in the header
- Select "Account settings"
- Update your display name or email address
- Click "Save Changes"
Note: If you change your email, it must be unique and not already in use by another account.
Changing Your Password
- Go to Account settings
- Scroll to the "Change Password" section
- Enter your current password
- Enter your new password (minimum 6 characters)
- Confirm the new password
- Click "Change Password"
Browsing Public Collections
Viewing Shared Collections
- Click "Browse Public Collections" in the header
- Browse through collections shared by other users
- Click on any collection to view its items
- Use pagination to see more collections
Note: You don't need to be logged in to browse public collections, but you'll need an account to create and manage your own.
Tips and Best Practices
Image Quality
- Use clear, well-lit photos for best AI recognition
- Take photos from multiple angles (front, back, sides)
- Ensure the item is in focus and fills most of the frame
- Remove background clutter when possible
Organization
- Use consistent naming conventions for similar items
- Create collections for different categories (e.g., "Vintage Toys", "Trading Cards")
- Add detailed custom fields to track important information
- Regularly update values as market conditions change
Data Management
- Export your collection regularly as a backup
- Use the search and filter features to quickly find items
- Keep your account information up to date
- During beta, be aware that data loss may occur
